Privacy Policy

The short version: your meetings are processed on infrastructure we control — never sent to third-party AI services. Audio is destroyed immediately after processing. Notes and transcripts are encrypted at rest with per-meeting keys. Deleting a meeting or your account destroys the encryption keys, making the data unrecoverable.
1. Who we are

2. What we collect
- Account data — email address, password (stored only as a strong one-way hash), optional business name and branding details you add.
- Meeting content — the audio you record or upload, and the transcript and notes generated from it. Audio is processed transiently and then permanently deleted (see §4). Transcripts and notes are stored encrypted.
- Usage & billing data — minutes used per billing cycle, plan, and (when payments are enabled) invoices handled by our payment processor. We never see or store your card number.
- Session data — IP address and browser user-agent for each active login session, shown to you in your account so you can revoke sessions.
3. How your meetings are processed
Transcription and note generation run on private, dedicated infrastructure that we operate and control. Your meeting content is never sent to OpenAI, Google, or any other third-party AI service, and it is never used to train any model — ours or anyone else's.
4. Retention and deletion
- Audio — decrypted only in memory during processing, then permanently deleted, on success and on failure alike. We do not keep meeting audio.
- Transcripts and notes — kept for your plan's history window (Free: 14 days, Pro: 6 months, Team: 12 months), then automatically and permanently destroyed by deleting the per-meeting encryption keys (crypto-shredding).
- Account deletion — deleting your account destroys your meetings' encryption keys and removes your personal data. This is not reversible.
- Export — you can download a full export of your data at any time from your account.
5. Security
Meeting data is encrypted at rest with AES-256 using a unique key per meeting, wrapped by a master key. Traffic is encrypted in transit with TLS. Passwords are hashed with a modern memory-hard algorithm. Logins are rate-limited, and sessions are revocable. See our Security page for details.
6. Who we share data with
We do not sell your data or share it with advertisers. We use a small set of service providers strictly to run the product:
- Infrastructure providers — servers and GPU capacity we operate our private processing pipeline on, bound by data-processing agreements.
- Payment processor — Stripe, when paid plans are enabled; card details go directly to them and never touch our servers.
- Email delivery — for verification and account emails only.
7. Cookies
We use one essential session cookie to keep you signed in, plus a cookie for your language/theme choice. No advertising cookies, no cross-site trackers, no analytics that identify you.
8. Your rights
Depending on your jurisdiction (including GDPR where applicable), you have the right to access, correct, export, and delete your personal data, and to object to or restrict processing. The export and delete tools in your account cover most of this instantly; for anything else, email privacy@mrmeetnote.com and we will respond within 30 days.
9. Children
MrMeetNote is not directed at children under 16, and we do not knowingly collect their data.
10. Changes
If we make material changes to this policy, we will notify you by email or an in-app notice before the changes take effect.
